Student Union Expectations and Rules

All officers of the Student Union have significant authority, not only within the Student Union itself, but also in the college.  As a group, they will have regular contact with the CLT (college leadership team) and will be collectively and individually responsible for the organisation of various social and fund-raising events which the student body may wish to arrange.  When running for a shadow position as a Year 12 candidate, you will watch how the Union operates in your first year and take over as a full member when Year 13 go on study leave at Easter 2025.

General Info

All members of the Student Union are required to monitor the SU teams chat and respond to any enquires within 24 hours.

The SU are also required to man the SU office on a rota ensuring the SU is manned over all lunch breaks (excluding when the SU meeting is held)

All members of the Student Union (SU) are expected to maintain professionalism, uphold the college’s values, and commit to the responsibilities assigned to their roles. Members are representatives of the student body and must lead by example in all interactions and activities

Student Union Room Use Policy

The Student Union room is a resource provided exclusively for SU members to conduct their duties and meetings. It is a privilege and comes with the following conditions: 

Restricted Access: The room is strictly for the use of SU members only. Friends or non-members are not permitted to use or access the room at any time. 

Cleanliness and Maintenance: Members must ensure the room remains clean and tidy at all times. Personal items, especially food and drink, should not be stored in the room for extended periods.

Equipment Use: All equipment must be used responsibly. 

Consequences of Misuse: Misuse of the room, such as failing to adhere to these rules, may result in restricted access for individuals or the entire SU.

By joining the SU, members agree to these policies and are expected to uphold them diligently. Breaches will be addressed as per the Three-Strike Policy.

Attendance Policy

We appreciate your commitment to being an active member of the Student Union (SU). As part of our shared dedication to fostering a collaborative and engaged community, we have established an attendance policy to ensure the meaningful participation of all members.

Regular Attendance: Members are expected to actively participate in all SU meetings and events.

Prior Agreement: In cases where a member anticipates missing a session, it is essential to seek prior agreement from the SU leadership team.

Three Consecutive Unexcused Absences: If a member accumulates three unexcused absences without prior agreement, will be addressed as per the Three-Strike Policy.

Considerations for Joining the SU

Commitment

  • Prospective members should be committed to actively participating in SU activities and events. 

Respect for Diversity

  • Members should respect and appreciate the diversity of the student body, fostering an inclusive environment. 

Code of Conduct

  • All members must adhere to the college’s code of conduct, both within and outside SU activities.

Contribution to Goals

  • Prospective members should express a genuine interest in contributing to the SU’s goals and objectives.

Leadership Qualities

  • Individuals interested in leadership positions should demonstrate leadership qualities, including effective communication, teamwork, and decision-making skills.

Student Union Membership Rules

Purpose and Objectives

  • The Student Union (SU) shall operate with the primary purpose of representing and advocating for the interests of the student body.

Representation and Inclusivity

  • The SU shall strive for diverse and inclusive representation, considering the varied backgrounds, cultures, and interests of the student body.

Communication

  • Transparent and timely communication shall be maintained through official channels, such as emails, notice boards, and social media.
  • The SU as a collective is responsible for managing the SU social media platforms, this includes responding to enquiries and posting regular / relevant stories, posts or reels.

Decision-Making

  • Decisions shall be made democratically, with major decisions requiring input from the entire SU or, when applicable, the general student body.

Financial Responsibility

  • The Head of Enrichment will manage the SU finances responsibly, adhering to college financial regulations.
  • Financial decisions may be subject to approval by the SU membership or relevant college CLT

Collaboration with College Administration

  • The SU shall maintain open lines of communication with college administrators, faculty, and staff.
  • Collaboration with the college administration shall be conducted respectfully and in the best interest of the student body.

Event Planning and Execution

  • SU events shall align with the values and goals of the college.
  • Considerations must be made for the safety and well-being of attendees and all events must be inclusive and accessible to all students.
  • A prom is not an inclusive event.

Accountability

  • SU officers shall be accountable to the student body for their actions and decisions.
  • Officers may be subject to recall through a democratic process in cases of non-performance or ethical violations.

Three Strike Policy

To ensure a fair and consistent standard of conduct, the SU operates under a Three-Strike Policy:

Strike Issuance: Strikes will be issued to any member found in violation of SU rules or demonstrating inappropriate behaviour.

Warnings for Contribution: Members who fail to fulfil their assigned duties or are deemed to not be contributing adequately will receive a strike.

Cumulative Strikes: Accumulation of three strikes will lead to a review by the SU Executive Committee, with potential removal from the Student Union.

Members are encouraged to communicate proactively if they encounter challenges in fulfilling their responsibilities.

By expressing interest in joining the SU, individuals acknowledge their commitment to abiding by these rules and considerations.
